What we Built
We developed Planora using a modern web and API architecture, with Next.js powering the web application and Laravel providing the backend API.
A dedicated rota-table interface allows administrators to view and manage surgical sessions according to rooms, dates, specialties, and defined time slots such as AM, PM, and EVE.
Administrators can create and update sessions within the selected timeframe and use existing rota structures as a foundation for future planning.
A schedule duplication functionality also allows rota information to be copied across quarterly periods, reducing repetitive data entry and helping maintain consistency in recurring schedules.
Planora’s web-based rota management system provides role-specific rota views, enabling Specialty Leads to manage availability while wider roles access relevant sessions. Automated reminders flag unconfirmed sessions, while notifications keep users informed about upcoming sessions and important schedule changes.
Bookers can access sessions where the required participants and resources have been confirmed. This provides them with the information required to communicate with relevant patients and continue the operational process.
Planora includes reporting capabilities for monitoring:
- Successful sessions
- Cancellations
- Reschedules
- Medical specialty performance
- User activity
- Session confirmations
- Other operational activity
These reports give management greater visibility into scheduling performance and user engagement.
Project Evolution
We expanded Planora from hospital rota administration on the web to mobile access for everyday staff activities.
Web-Based Hospital Administration
The project initially focused on creating a web-based rota management platform for hospital and trust operations. The web application was designed around multiple roles, including:

- Speciality Lead
- Chair
- Staff Coordinator
- Hospital Admin
- Anaesthetic Lead
- Trust Admin
Each role receives access to specific functionality based on its responsibilities.
The core web platform included user management, rota-table management, surgical session scheduling, availability confirmation, reporting, notifications, activity logging, and role-based access control.
Mobile Application
- We developed a mobile rota management app for Android and iOS, making Planora more accessible to hospital staff during daily operations.
- It enables staff to interact with schedules and surgical sessions while working away from desktop environments.
- The mobile experience extends the existing Planora ecosystem rather than functioning as a separate product.
- It connects with the same backend APIs and data structure, keeping information consistent across platforms.
- This evolution transformed Planora into a multi-platform healthcare workforce coordination solution for connected daily operations.

How Helpful Insight Built Planora to Manage Complex Hospital Rota Workflows
Helpful Insight approached Planora by translating its complex healthcare workflows into a structured hospital rota management system built around the client’s existing operational model.
Our team designed role-aware workflows so different healthcare responsibilities could be supported without unnecessary complexity. We extended the established web platform to Android and iOS, keeping mobile access connected to the existing system rather than functioning independently.
On the technical side, we implemented a centralized Laravel API and database architecture to support communication between platforms, while incorporating authentication, authorization, and activity tracking into the solution.
This approach gave Planora a reliable technical foundation for evolving scheduling and workforce coordination requirements.
